Terms & Conditions

Please read carefully before signing

• 01

  Payment

  Your space is confirmed with a single payment of the kit fee — simple, with nothing further to track. Banking details are provided on your invoice. As spaces are limited, EthosX reserves the right to release any unpaid booking without notice.

• 02

  No Refund Policy

  All payments are non-refundable. Should an exhibitor cancel, payments will be retained and converted to a credit note redeemable at any future EthosX event, valid for 24 months from the date of the original event. Credit notes are non-transferable to third parties and hold no cash value.

• 03

  Stand Manning

  Your stand must be manned at all times during trading hours. EthosX reserves the right to temporarily close any unattended stand. This applies to all exhibitors regardless of kit selected.

• 04

  Handover & Ownership of Kit

  On Day One, exhibitors will be issued their Keepsake Kit for inspection and sign-off. Once signed off, the Bannerwall and Promo Counter become the exhibitor's property; EthosX is not liable for damage or loss after this point. Replacements may be ordered through EthosX at standard rates. The kit must be fully set up before the event opens daily, and may only be dismantled during the official breakdown window — no early breakdown is permitted.

  Barstool Hire

  Barstools are supplied on hire for the duration of the event only and remain the property of EthosX at all times. Barstools must be returned in good condition at breakdown. A charge of R750 per stool will apply for any barstool not returned, lost, or damaged beyond normal wear.

• 06

  Conduct & Brand Responsibility

  Exhibitors are responsible for the professional presentation and conduct of their stand and staff. EthosX reserves the right to remove any exhibitor whose conduct or products are deemed inappropriate or inconsistent with the values of the event, without refund.

• 07

  Insurance

  EthosX will maintain event insurance as required under standard mall practice. Exhibitors are responsible for arranging their own insurance cover for stock, equipment, and any items that require additional coverage. EthosX and The Venus Throne (Pty) Ltd will not be held liable for loss, theft, or damage to exhibitor property during the event, including during setup and breakdown periods.

  Photography & Marketing

  By participating, exhibitors grant EthosX permission to photograph and film their stand for marketing and promotional use. Any concerns must be communicated in writing prior to the event.

• 09

  Venue & Date Changes

  The event is scheduled for 28–30 August 2026 at Centurion Mall. Should it become necessary to change the date or venue — for reasons including but not limited to circumstances beyond EthosX's control — confirmed exhibitors will be notified as soon as possible and their booking will carry forward to the new date or venue. Should an exhibitor be unable to attend the rescheduled or relocated event, a credit note will be issued, redeemable at any future EthosX event within 24 months. A change of date or venue is not a cancellation of the event, and clause 11 below applies only where the event does not take place at all.

  Curation & Confirmation

  The Health Beauty & Lifestyle Expo is a curated event with a specific focus on health, beauty, and lifestyle brands. To maintain the integrity of the experience for visitors and fellow exhibitors alike, EthosX reserves the right to decline a booking where a brand does not align with the event's theme. This is not a reflection of the brand's quality — simply a matter of fit. Confirmed exhibitors receive a booking confirmation within 5 business days of receipt of payment.

  Our Commitment — Full Cash Refund If We Cancel

  We take this commitment seriously: should EthosX or The Venus Throne (Pty) Ltd cancel the event in full — meaning it does not take place at all, on any date or at any venue — every confirmed exhibitor will receive a 100% cash refund of all payments made. We will notify exhibitors by email as soon as the decision is made. This is the only circumstance under which a cash refund applies; outside of a full event cancellation, the No Refund Policy in clause 02 and the Venue & Date Changes terms in clause 09 apply.
